This privacy policy explains how your personal data is processed when you place an order at a venue that uses TableMate (operated by LMG OPTIMIZE BV, VAT: BE0785858168) as its digital ordering and payment platform. The venue (restaurant, bar, or other establishment) where you are placing your order is the data controller. TableMate acts as a data processor on behalf of the venue.

2. What Data We Collect

When you place an order through TableMate, the following data may be collected:

  • Email address (for order confirmation and receipt)
  • Order details (items ordered, quantities, prices)
  • Table number or location identifier
  • Payment information (processed securely by Mollie; TableMate does not store your card details)
  • Coupon or discount codes used
  • IP address and basic device information (for security and fraud prevention)

3. Why We Collect Your Data

Your data is processed for the following purposes:

  • Processing and fulfilling your order
  • Sending you an order confirmation and receipt by email
  • Processing your payment securely through our payment provider (Mollie)
  • Fraud prevention and security
  • Legal compliance (e.g., tax and accounting obligations of the venue)

4. Legal Basis for Processing

We process your data based on the following legal grounds under the GDPR (Article 6):

  • Contract: Processing is necessary to fulfil your order (Art. 6(1)(b))
  • Legitimate interest: Fraud prevention and platform security (Art. 6(1)(f))
  • Legal obligation: Tax and accounting records required by law (Art. 6(1)(c))
  • Consent: Your email address for order communications, based on your explicit consent at checkout (Art. 6(1)(a))

5. Who Has Access to Your Data

  • The venue where you placed your order (as data controller)
  • Mollie B.V. (payment processing, based in the Netherlands, GDPR-compliant)
  • Hosting and infrastructure providers (EU-based servers)
  • Law enforcement or regulatory authorities, if required by law

We never sell your personal data to third parties.

6. How Long We Keep Your Data

Order data is retained for the duration required by applicable tax and accounting laws (typically 7 years in Belgium for financial records). Email addresses used solely for order confirmation are deleted within 90 days after the order, unless the venue retains them for their own legitimate purposes as data controller.
